What each one means for India

The table above is the shortlist. Below is what each tool means specifically for a team audited in India — the full reviews, with pros, cons and pricing, live on our calibration software roundup.

1

CalibraCore

Cloud

Prices in rupees rather than converting from dollars, and the free plan means a plant can prove the process works before anyone raises a purchase order. It records the calibration due date; track the Legal Metrology re-verification date as its own field, because the two expire independently.

2

LabCalibrate

Cloud (EU-hosted)

Free today, but hosted in Europe under Polish law with no named company and no SLA. For an IATF 16949 or WHO-GMP site that has to name its systems and their owners in an audit, an unattributable supplier is a hard question to answer.

3

GageList

Cloud

Its free tier stops at 25 gages, which most Indian plants pass quickly, and paid plans are billed in USD — the point where a rupee budget starts to bite. Unlimited users on paid does suit a multi-plant group sharing one register.

4

Gaugify

Cloud

Starts at $70 a month and rises with asset count. Converted to rupees that is a meaningful line item for an MSME putting calibration control in place for the first time, so weigh the uncertainty tooling against what you will actually use.

5

GAGEtrak

Installed Windows (desktop or LAN/server)

The MSA and Gage R&R depth that IATF 16949 §7.1.5.1.1 requires, and India's automotive supply base is audited on that clause harder than on anything else. Quote-based and Windows-installed, so budget the licence and the IT time together.

6

Qualer

Cloud

Fits Indian pharma exporting to regulated markets, where a US FDA inspection is the binding constraint rather than a domestic one. Quote-based with an implementation fee, so it suits a formulation plant rather than a component supplier.

7

Metquay

Cloud or on-premise

Built for commercial calibration laboratories — and India has a large NABL-accredited service industry. If you are the laboratory issuing certificates rather than collecting them, this is aimed at you.

8

Calibration Control (Ape Software)

Desktop or cloud database

About $768 for a single seat, one time. Converted to rupees that is a real capital number, and its scope is ISO 9001 records rather than ISO/IEC 17025 — check that against what your NABL-accredited customers expect to see.

9

QT9 QMS

Cloud or on-premise

Calibration inside a 25+ module QMS with 21 CFR Part 11 support, which suits a pharma exporter consolidating systems. Quote-based by concurrent users, so cost tracks how many people are in it at once, not headcount.

10

IndySoft

Cloud or on-premise

Configurable enough to model a group where each plant runs slightly differently, which is the usual Indian multi-site reality. Quote-based, and the configuration project is the real cost rather than the licence.

11

Beamex CMX

On-premise or cloud (Azure)

Enterprise process calibration for large regulated multi-site operations — refining, petrochemical, bulk pharma. Only worth evaluating alongside its calibrator hardware; as software alone the case is weak.

12

Fluke Calibration (MET/CAL, MET/TEAM)

On-premise + browser (MET/TEAM)

For a dedicated metrology laboratory automating volume, not a plant tracking due dates. If you run a NABL-accredited calibration facility, the automation is the argument; if you send work out, it is not.

What is calibration management software?

Calibration management software keeps a record of every measuring instrument, tells you when each is due for calibration, and stores the calibration history and certificates in one place. It replaces spreadsheets so nothing is missed and an audit takes minutes.

In short: it tracks what you own, when each item is due, and the proof it was calibrated on time.

How do you choose the right one?

Start with your size and budget

A small shop rarely needs enterprise software. If a free plan covers your instrument count, start there and upgrade only when you outgrow it.

Cloud vs on-premise

Cloud suits most teams (no install, multi-site access). Choose on-premise only if your IT policy requires data to stay on your servers.

Check the audit trail

The core job is a due-date schedule plus a full, per-instrument history with certificate numbers — the exact record an auditor asks for.

Try before you commit

Prefer tools with a free plan or trial so you can test with your own instruments before paying.

Which one is right for you?

A small or mid-size team that wants to start free

CalibraCore

You mainly track gauges (ring, plug, thread, calipers)

CalibraCore

A commercial calibration lab issuing ISO 17025 certificates

Metquay

A large manufacturer wanting an on-premise veteran

GAGEtrak

A regulated lab needing full service/asset lifecycle

Qualer

In short: most small-to-mid teams should start free with CalibraCore; dedicated commercial labs look at Metquay or Qualer; legacy manufacturers consider GAGEtrak.

How does calibration compliance work in India?

India runs a quality-system track and a legal-metrology track, and they are enforced by different people. For quality-system calibration, NABL is authorised by the Government of India as the sole accreditation body for testing and calibration laboratories, accrediting to ISO/IEC 17025, with national measurement standards held by CSIR-NPL in New Delhi. For weights and measures used in trade, the Legal Metrology Act, 2009 applies instead, enforced by state Legal Metrology departments with verification and stamping. India's automotive supplier base (IATF 16949) and its pharma sector (WHO-GMP, US FDA inspections) then add their own record-keeping expectations on top.

NABL is the only accreditor — check the scope

NABL is authorised by the Government of India as the sole accreditation body for testing and calibration laboratories, so there is no competing Indian accreditation to weigh up. Auditors expect each instrument to trace back to a NABL-accredited calibration with the certificate on file. The mistake to avoid: accreditation is granted per scope, so a laboratory accredited for pressure at one range is not automatically accredited for your torque or dimensional work. Store the certificate number, the laboratory, the scope you relied on and the due date against each instrument.

CSIR-NPL holds the national standards

CSIR-National Physical Laboratory in New Delhi is India's National Metrology Institute, a member of the Metre Convention and of the Asia-Pacific Metrology Programme, and it maintains the National Standards of Measurements under a quality system aligned to ISO/IEC 17025:2017 and ISO 17034:2016. It also supports NABL and works alongside BIS and Legal Metrology. So the chain your auditor traces is instrument → NABL-accredited laboratory → CSIR-NPL → the SI, and every link should be evidenced in the record rather than assumed.

Legal Metrology Act, 2009: verification and stamping

Separate obligation with real teeth. Weights and measures used in trade must be verified and stamped before use, and the Legal Metrology (General) Rules, 2011 prescribe specifications and the period of re-verification, while state rules set fees and licensing. Enforcement and fees sit with state Legal Metrology departments, and non-compliance attracts a fine — with imprisonment possible for repeat offences. A NABL calibration certificate does not replace verification, so a trade instrument needs both dates tracked independently.

Pricing in ₹, and audits across plants

Cloud tools priced in USD feel expensive once converted, so a free plan or INR pricing removes the budget hurdle for Indian SMBs and MSMEs putting calibration control in place for the first time. Multi-plant groups get the bigger win from one shared register: automotive suppliers under IATF 16949 and pharma sites facing WHO-GMP or US FDA inspection both have to produce a complete per-instrument history on demand, and that is far harder when every plant keeps its own spreadsheet.

In short: keep the certificate, the issuing laboratory, the due date and the as-found result against each instrument — that record is what satisfies NABL accreditation, ISO/IEC 17025 and ISO 9001 in India.

Frequently asked questions

What is the best calibration management software in India in 2026?

For most small-to-mid teams, CalibraCore is the best starting point because it is genuinely free forever for 20 instruments (no credit card) and runs in the cloud. GageList is the closest free alternative, GAGEtrak suits established manufacturers, and Metquay or Qualer fit dedicated commercial calibration labs.

Is NABL accreditation mandatory for calibration in India?

Not as a universal legal requirement, but it is the practical standard. NABL is the Government-authorised sole accreditation body for testing and calibration laboratories, so a NABL-accredited certificate is what auditors and customers expect as proof of traceability. Regulated and export-facing sectors typically require it contractually. Confirm the laboratory's accredited scope covers your measurand and range before booking.

What is the difference between NABL calibration and Legal Metrology verification?

NABL accreditation concerns a laboratory's technical competence to ISO/IEC 17025 for quality-system calibration. Legal Metrology verification and stamping, under the Legal Metrology Act, 2009, concerns instruments used in trade and is enforced by state Legal Metrology departments. They run on separate cycles, so an instrument used commercially can need both, tracked as two independent due dates.

How often must instruments be re-verified in India?

The period of re-verification is prescribed by the Legal Metrology (General) Rules, 2011 and varies by instrument type, so check the Rules for your specific category rather than assuming a single interval. Internal calibration intervals are a separate decision you set from the manufacturer's recommendation, observed drift and risk — and then have to justify.

Is there free calibration software?

Yes. CalibraCore has a free forever plan for 20 instruments (no credit card), and paid plans scale to 10,000 instruments. GageList offers a free tier for small shops, and LabCalibrate is currently free in full — though it publishes no paid tier, so treat that as today's price rather than a permanent plan. GAGEtrak, Qualer and Metquay do not have permanent free plans — they offer trials or paid test drives instead.

Should I choose cloud or on-premise calibration software?

Cloud is right for most teams — nothing to install, automatic updates, and access from any site. Installed or on-premise options (GAGEtrak on Windows, Metquay on your own server) suit organizations whose IT policy requires data to stay in-house.

How much does calibration software cost?

It ranges from free (CalibraCore and GageList free tiers; LabCalibrate free for now) to per-seat licensing (GAGEtrak, quoted by the vendor — third-party listings show about $29/seat/month for Lite), custom quotes (Qualer), and lab-focused pricing (Metquay from ~$69/mo or a one-time per-user fee). Start free and upgrade only when you outgrow the limits.
